Looking for older email? Check your new ‘archive’ mailbox in Outlook

PROVIDENCE OREGON – Our IS team recently moved email older than two years to a new “archive” mailbox in Outlook, for all providers who have a mailbox.

The move is part of our preparation for the new two-year email retention limit that takes effect in December:

  • Now – Dec. 5: Your email older than two years will move to the archive on a weekly basis. Use this time to identify any older emails you need to keep, and save them to OneDrive or SharePoint.
  • On Dec. 5: All email two years old and older will be automatically deleted on a rolling basis.

Find your new archive mailbox

In Outlook Desktop: On the left side of your Outlook desktop app, you should be able to find a mailbox called “Online Archive” with your name on it.

In Outlook Online: If you’re working in the online version of Outlook, it’s the same, but the mailbox is called “In-Place Archive.”

Caregivers have three months left to save older emails that they need to keep. Effective Dec. 5, Outlook emails older than two years will be automatically deleted on a rolling basis.

As part of this process, we are phasing out the ability for caregivers to create and connect personal storage table (.pst or PST) files to Outlook, which means the existing PSTs you may have can no longer be used.
